If you change the name of the .exe and the icon changes then you need to clean windows' icon cache. I did accordingly as here were explainded and it helped: https://superuser.com/questions/499078/refresh-icon-cache-without-rebooting

Can you please share a link to this solution or tell what to search for? The problem with email approach is that it requires me to manage the data manually. Yes, but I don't got enough skills for analysing the server logs
Accessing a database - I would prefer to avoid it because it seems like a big canon when you only want tot shoot a bird.

Did you try to use WinActivate (activates the window you want) or WinGetActiveTitle (you cac check which window is now active) functions? Also WinWaitActive / WinWaitNotActive may help.
I used all of the above (mosty first and third one) and they all worked fine for me.

I guess it's not the issue, because the same happens when I use other shortcut such as win+g or ctrl+y.
